Hiding a Questionnaire from Reviewers

Have more questions? Submit a request

This article is for administrators of a Training Application Form. Use it when some questionnaires should be seen by administrators but not by the reviewers who score the applications, for example demographic or background questions.

How it works

  • The setting is on the questionnaire, not on individual questions. Put the questions reviewers must not see in their own questionnaire and hide that questionnaire. (For example, a questionnaire named "Identity, Family and Background".)
  • A hidden questionnaire does not appear on the Application tab of the application a reviewer opens.
  • Administrators still see every answer on the Applicants page.
  • The setting applies to the questionnaires that applicants answer. It has no effect on mentor, reference or evaluation questionnaires.
  • Every questionnaire is visible to reviewers by default, so existing forms do not change until you hide something.

Hide a questionnaire

  1. Open the Training Application and go to Questionnaires.
  2. Select Actions next to the questionnaire, then Information.
  3. Set Visible to reviewers to No.
  4. Select Save.

The Questionnaires list has a Reviewers column that shows Hidden or Visible for each questionnaire, so you can check the whole form at a glance. To show the questionnaire to reviewers again, set Visible to reviewers back to Yes and Save.

Check it as a reviewer would

Open the application of an applicant who answered the questionnaire, from a reviewer's link. The hidden questionnaire's questions and answers are not shown, and the other questionnaires still are. The same applicant on the Applicants page still shows everything.

Copying and duplicating

When you copy a questionnaire to another form, or duplicate a whole form, the setting is copied with it: a hidden questionnaire stays hidden in the copy.

Documents

Reviewers cannot download documents, by design: they read them in the page, and nothing is saved on their computers. If reviewers need the files, use Allow Bulk Document Download on Application Settings, download the ZIP yourself from the Applicants page and share it. Keep in mind that uploaded documents can contain the same kind of information you hid in the questionnaire.
