Applying to a Training Program: A Guide for Applicants

Have more questions? Submit a request

This guide is for people applying to a training opportunity in Research Logix. It walks you through starting your application, completing every section, submitting it, and what happens after the lock date.

1. Start your application

  1. Open the link to the opportunity (from the program's website or invitation email). The page shows the key dates, including when applications open and close.
  2. Select Start your Application. You must be logged into Research Logix. If you do not have a profile yet, you can create one with your institutional (SSO) login, with ORCID, or with your own Research Logix credentials.
  3. You can have one application per opportunity. If you select Start again (or open a second tab), you are taken to the application you already started.

Every date on the page is shown with its time and time zone, for example "5:00 PM PST". The program chooses one time zone for the whole opportunity, so read the zone before you plan your deadline.

2. Complete every section

Your Dashboard has one tile for each section of the application: your profile, questionnaires, documents, references and mentors (when the program uses them). A green check appears on a tile when that section is complete, and each tile shows how many items are done.

Uploading documents

  • Accepted file types: PDF, Word (.doc, .docx), Excel (.xls, .xlsx, .csv), PowerPoint (.ppt, .pptx), plain text and RTF, OpenDocument (.odt, .ods, .odp), and PNG or JPEG images. Other file types are refused with a message.
  • Password-protected or encrypted files are refused. A protected file would not open for the people who review it. If you see a "File not uploaded" message with the file name, remove the password or protection in the program that created the file, save it, and upload it again. Nothing is stored when a file is refused.
  • Read the short description under each document type: it says what the program expects (for example "PDF only, no password").

References and mentors

  • If the program uses references or mentors, name them on the References and Mentors pages. The program sets how many you must name; the minimum is shown on the page and on the Dashboard.
  • Each reference and mentor receives an email with a link to upload their letter or answer their questions. You do not upload their documents for them.
  • If any of them has not finished, a red notice on your pages lists their names and what each still has to do, with a Send a reminder link. The notice stays until they have finished. It does not stop you from submitting, but it is your responsibility to stay on top of your references and mentors.

3. Submit your application

Filling in every section is not enough: you must select Submit Application. Until you do, your application is not available for review.

  • Every page of the application shows a banner until you submit: "It will not be available for review until you select Submit Application." While sections are incomplete, the banner lists what is still to do, with links.
  • When every section is complete, the Dashboard shows a Ready to Submit? panel with the Submit Application button, and the banner on the other pages becomes a green Go to Submit Application button.
  • After you submit, the Dashboard shows "Application submitted on" and the date.

4. Changing your application

You can keep editing your application, even after you submit it, until the Application Lock Date. To come back, open the opportunity page and select Edit Application. The lock date and time (with its time zone) are shown on the opportunity page.

5. After the lock date

Once the lock date and time have passed, your application is locked. Every section is replaced by a read-only page that says when it was locked and shows your answers and the names of your documents. You can no longer change answers, upload documents or submit. If your application was not submitted before the lock, the page says so. If you need a change, contact the program's Point of Contact shown on that page: the administrator can extend the lock date for you.

If the program extends the lock date for you, the opportunity page and your Dashboard show your own date ("Extended for your application") and you can edit again until then.

Checklist before you submit

  • Every Dashboard tile has a green check.
  • Your references and mentors have all finished (no red notice).
  • Your documents open correctly and are not password-protected.
  • You selected Submit Application and the Dashboard says "Application submitted on".
  • You know the lock date, time and time zone.
