Objective

To provide a clear and concise procedure for flagging publications and requesting additional input from authors. This SOP aims to streamline the process of obtaining author validation on publication assignments and resource utilization, ensuring effective communication and minimizing errors.

Key Steps

  1. Pre-Populate Properties

    • Ensure that properties for peer-reviewed cancer relevance and external collaboration are pre-populated.

  2. Flag Publications

    • Select the publications you want to flag for author input.

    • Click on "Request Author Input" to flag the selected publications and place them in a review queue.

  3. Monitor Flagged Publications

    • Navigate to the "Requested Author Input" section to view which publications have been flagged.

    • Use the "Viewed pubs" option to see an icon indicating the status of each flagged publication.

  4. Solicit Author Review

    • Go to "Cuedpubs" and click on "Author Review."

    • Review the list of flagged publications by investigator/author, which includes:

      • Investigator's name and email address

      • Associated programs

      • Number of flagged publications

      • Progress bar for review status

  5. Send Author Notifications

    • Click on the bell icon to send individual authors their specific review queue.

    • Optionally, preview the solicitation that authors will receive to ensure clarity.

  6. Review Flagged Publications

    • Click on "Flagged Publications" to see all publications currently flagged for review.

    • Check the review status and days past since the solicitation was sent.

  7. Send Reminders

    • If publications have been in the queue for an extended period, send reminders to the respective authors.

  8. Remove Reviewed Publications

    • Once a publication has been reviewed, select it and click "Remove Selected" to clear it from the review queue.

  9. Notify All Authors

    • If necessary, use the "Notify All" option to send a reminder email to all authors with pending reviews.

Cautionary Notes

  • Ensure that all properties are accurately filled out before flagging publications to avoid confusion during the review process.

  • Be mindful of the time elapsed since the initial solicitation; follow up with authors if reviews are overdue.

  • Avoid sending bulk notifications without verifying that all flagged publications are ready for review.

  • Keep a checklist of publications that require author input to streamline the flagging process.

  • Utilize the preview feature to ensure that authors receive clear and concise instructions in their solicitation emails.

  • Regularly update the status of flagged publications to maintain an organized review queue and avoid bottlenecks in the process.

  • Use reminders and follow-ups to keep authors engaged and ensure timely reviews.
