Objective

The objective of this SOP is to guide team members on how to import publications for trainees efficiently and accurately.

Key Steps

  1. Navigate to the programs section and select "Trainees" to view all trainees for all cohorts.
  2. Use the search menu to find the specific trainee or go to the "Students" tab to locate the trainee.
  3. Select the desired trainee for importing publications.
  4. Go to "Tools and Administration" and click on "Import Publications."
  5. By default, PubMed is connected, and you can search for the user by their full name.
  6. Check for existing publications linked to the profile (indicated by a checkmark).
  7. Select the publications you want to import individually or use the "Click All" option to import all publications.
  8. Click on "Import Selected" to apply the selected publications to the profile.
  9. Use the search mechanism to refine the search by title, PubMed UID, or PMCID if needed.
  10. View the imported publications in the trainee's profile under the publications section.
  11. To see the publications in a data table format, use the grid option to extract detailed information.

  • Ensure the correct trainee profile is selected before importing publications.
  • Double-check the publications selected for import to avoid errors.
  • Be cautious when using the search mechanism to ensure accurate results.

Tips for Efficiency

  • Utilize the search menu and students tab to quickly locate the trainee.
  • Use the "Click All" option for importing multiple publications at once.
  • Regularly update and maintain the trainee's publication records for accuracy.
  • Familiarize yourself with the grid option to extract detailed publication information efficiently.
